Messaging Privacy Policy

Southern Roots Endodontics respects your privacy. This policy describes information collected and used in our patient text messaging program. Protected health information is also governed by HIPAA, applicable Tennessee law, and our separate HIPAA Notice of Privacy Practices.

Information We Collect

We may collect your telephone number, name and basic contact information, consent and opt-out records, messaging history, delivery information, and information needed for the communications you have agreed to receive. We may also collect your email address if you provide it for related communications; an email address is not inherently required to opt in to texts.

How We Collect Information

We collect information when you opt in through a designated form or other authorized process, communicate with our office, or participate in the messaging program. Our messaging provider may generate delivery and interaction records. Merely visiting our website does not enroll you in SMS messaging.

How We Use Information

We use information to document consent, send messages within the scope of your consent, respond to your messages, manage scheduling and patient communications, honor opt-outs, maintain security, and meet legal requirements. Depending on your consent and the program’s actual features, communications may include appointment and billing reminders, follow-up messages, and quality or feedback surveys.

How We Disclose Information

We do not share your personal information, telephone number, or SMS opt-in consent data with third parties or affiliates for marketing or promotional purposes.

We may disclose information to service providers that operate or support our messaging program, subject to appropriate confidentiality protections and business associate agreements when required by HIPAA. We may also disclose information for other purposes permitted or required by applicable law, such as responding to a lawful request or a practice transaction, subject to applicable restrictions on protected health information. These provisions do not permit sharing mobile opt-in information or consent data for third-party or affiliate marketing.

Your Choices

Reply STOP to opt out or contact our office through another reasonable method. See our Terms of Services for additional information about the opt-out process. Reply HELP for assistance. You may request a different communication method or reasonable confidential communication arrangements. Rights concerning access to, amendment of, and other uses of protected health information are described in our HIPAA Notice of Privacy Practices. Opting out does not require deletion of consent records or patient records we must retain.

Security and Retention

We use reasonable safeguards appropriate to the information we maintain. Ordinary text messaging carries privacy risks, and no transmission method is completely secure. Please do not text payment card details, Social Security numbers, or detailed health information; ask our office for a secure communication method.

We retain messaging and consent information as reasonably necessary for patient care, program administration, and applicable recordkeeping obligations. Required breach notifications will be provided in accordance with applicable law.

Updates

We may update this policy and post a revised effective date. We will provide additional notice or obtain consent when required by law. Changes do not override your existing privacy rights or authorize new uses of protected health information without a legal basis.
